AI Phone and Chat Agents That Answer, Qualify and Book

We build customer-facing AI agents for Canadian businesses: a voice agent that answers your phone, built on Retell AI or Vapi, and a chat agent for your website. Both answer from your own documents, qualify the enquiry, book the appointment, update your CRM and hand off to a person with a written summary.

What happens when a customer calls your voice agent?

The chat agent follows the same steps in a window on your website.

Answers the call

On your existing number, forwarded, or on a new local number through Twilio. It tells the caller up front that they're speaking with an AI assistant.

Answers from your documents

Hours, service areas, policies, product specs, how pricing works. It only uses material you've approved, and says so when it doesn't know.

Qualifies the enquiry

Asks what your best front-desk person would ask: what they need, where, how soon, and anything else that decides who should call back.

Books or transfers

Books into your Outlook, Google or CRM calendar, or transfers a ready-to-buy caller to a person during business hours.

Updates the CRM

Creates or updates the contact in HubSpot or GoHighLevel with the call notes, the source and the next step.

Hands off with a summary

Your team gets a short summary by email or Teams: who called, what they want, and what the agent promised them.

What else can a customer agent handle?

The same agent can cover the gaps where enquiries usually go cold.

Website chat

The same knowledge as your phone agent, in a chat window on your site. It answers questions, collects details and books, then hands the conversation to a person when it should.

Quote follow-up

Checks your CRM for quotes with no reply after a set number of days, then sends a short follow-up from your team's email or drafts one for approval. Replies land back with the sales rep.

Missed-call text-back

When nobody picks up, the caller gets a text back with a booking link or a time to expect a callback.

After-hours cover

Evenings and weekends, the agent takes details, books what can be booked, and leaves the rest as a tidy list for the morning.

What could a customer agent look like in your industry?

Examples of agents we could scope. They are illustrations, not client case studies.

Example: an HVAC or plumbing company

A service company with a dispatch team could have a voice agent take overflow and after-hours calls, sort emergencies from routine maintenance using the company's own rules, transfer emergencies to the on-call technician, and book the rest into the dispatch calendar.

Example: a multi-location clinic

A physiotherapy or dental group could have an agent answer the questions the front desk hears all day, like parking, hours and what to bring, from the clinic's own policy documents, and book new-patient appointments. Anything clinical goes to staff.

Example: a B2B equipment supplier

A supplier could have an agent follow up on every quote over a set value after five business days, log the reply in HubSpot, and alert the sales rep the moment a customer asks a question or says yes.

Example: a law or accounting firm

A professional firm could have an agent answer intake calls, collect the basics of a new matter, pass the names to a person for a conflict check, and book a consultation once it's cleared.

What's included, and what does it cost?

Included with every customer agent

  • Free prototype first: a working version of the call or chat flow in a test setup within 5 business days, answering your own sample questions, before you commit.
  • Call and chat design: the greeting, the questions, the booking rules and when to hand off, agreed with you in writing.
  • Knowledge base: built from your website, price rules, policies and FAQs, and only what you approve.
  • Connections: your phone number, calendar and CRM.
  • Testing: we call it with your trickiest real questions in staging, and you do too, before it takes a live call.
  • Handover: call transcripts and summaries in the activity log, documentation, a walkthrough and 2 weeks of support.

Price

A first customer agent is from $995, fixed before work starts. Optional monthly support is from $99/month.

Voice agents also have running costs: per-minute fees from the voice platform and the phone number from Twilio, plus model usage. We estimate these from your call volume in the scope.

Before you commit, I'll build you a working prototype in 5 business days, free, with no obligation.

What won't a customer agent do?

Lines we draw on every build, so the agent helps your reputation instead of hurting it.

  • Pretend to be a person. Callers hear that they're talking to an AI assistant, and can ask for a person at any time.
  • Give legal, medical, tax or financial advice. It books the consultation; your professional gives the advice.
  • Negotiate prices or offer discounts.
  • Handle a complaint past the first few sentences. It hands an unhappy customer to a person, with a summary so they don't have to repeat themselves.
  • Manage an emergency. If a caller describes a safety issue, the agent transfers the call or gives your emergency instructions.
  • Make cold calls. Our agents answer and follow up with people who contacted you first.

Questions about phone and chat agents

Will callers know they're talking to an AI?

Yes, always. Every voice agent we build introduces itself as an AI assistant at the start of the call. Anyone who asks for a person is transferred during business hours or given a callback time.

Can the voice agent use our existing phone number?

Usually, yes. You can forward your current number to the agent all the time, only after hours, or only when nobody answers within a set number of rings. We can also set up a new local number through Twilio.

What if the agent doesn't know the answer?

It says it doesn't know, takes the caller's details and creates a callback task for your team. It only answers from documents you've approved, and we test it against your hardest questions before it goes live.

Which is better for a business phone agent, Retell AI or Vapi?

Both handle business calls well. Retell AI is quicker to set up for a standard receptionist flow. Vapi gives more control when the call flow is unusual or needs custom tools. We pick one based on your call flow and tell you why.

Can the agent speak French?

The voice platforms we build on support French, and an agent can answer in French or English depending on the caller. If you need a bilingual agent, we test the French calls with a French-speaking member of your team before go-live.

How many calls did your team miss last week?
